Introduction Thank you for purchasing Lloyd's Expense Reporter for Windows, the most powerful, easiest, quickest, and most economical software package for doing expenses on your PC. Much easier to setup and use than competing products. With Expense Reporter's quick entry system, a few keystrokes is all it takes to input your travel expenses which can then be printed in standard expense report format. Expense Reporter can be customized for your company. It lets you work on multiple expense reports at the same time and can also be used to store old expense reports and track when they are paid. Online tax tips, a calculator, calendar, and an online phone book are all included to make submitting your expenses even easier. The software comes with this User Documentation. a sample expense report and online context sensitive help. This User Documentation for Expense Reporter can be found in MS Word format 6.0 in file XPNS_USR.DOC and in text format in the file XPNS_USR.TXT. To access Help press F1 or select the Help Menu from the menu bar. This software uses industry standard *.DBF files that can also be accessed by many software products like DBase, Excel, and Lotus. II. System Requirements Lloyd's Expense Reporter for Windows has minimal system requirements and is perfect for use with a laptop. You will need MS Windows 3.1 or higher and a hard drive with at least 1 Mb of free disk space. This is enough space for the program files and more than one year's expenses. It is also recommended that you have 80386 or higher processor, 4 Mb of RAM, a mouse, and a printer supported by MS Windows. III. Installation To install this software, simply run the INSTALL.EXE file that is located on your installation diskette or in your installation directory. For example, to install this software from a diskette: 1) From MS Windows, choose the RUN command from the File menu in Program Manager. 2) Place the installation diskette 1 into either drive A. 3) In the Run dialog box type A:INSTALL and press ENTER. 4) The automatic installation program will then walk you through the remainder of the setup process. You can also install this software from a diskette placed in drive B or from an installation directory that is located on hard drives C or D. By default, the software is installed in a directory called C:\LLOYDS and in the Program Group called Lloyd's Travel Utilities. For additional information, check the README.TXT file included with the software. IV. License and Guarantee This software copyrighted and is licensed for individual use only. Multiple users must purchase additional licenses. This software is guaranteed against defective Install Diskettes or downloaded files (defective media) for a period of 30 days from date of purchase. Upon notification of this defective media, Lloyd's Travel will at its discretion replace the defective media or return the purchase price. To report defective media, contact Lloyd's Travel as discussed in the Customer Support section of this Users Documentation. No additional warranties are in effect or implied. And in all cases, the liability accepted by Lloyd's Travel does not exceed the purchase price. By your use of this software, you agree to this license and guarantee. V. VII. How to Use Upon selecting the Expense Reporter icon from the appropriate group, you will be presented with the opening screen. You can perform different functions by making selections from the Menu Bar or the Tool Bar. The icons on the Tool Bar from left to right let you: Access the Phone Book, Print Address Labels from the Phone Book, Input Expense Information from a Trip, View the Calendar, View the Calculator, Access Help, and Exit the Application. By placing your mouse arrow over the icon a description of that icon's function will show on the status bar. The first time you run Expense Reporter, before entering your first expense report, you will want to customize your expense reports by selecting Company Information from the Setup Menu. Fill in the Company, Department, and Employee names that you want to be printed on your expense reports. Use the Expense Category section under the Setup Menu to modify your expense categories to fit the needs of your company. These Expense Categories are used to describe the types of business expenses you incur. You can Add, Change, or Delete the existing categories as you wish. When you begin to enter an expense report, your first step will be to Add the appropriate Trip Information. For each expense report you can input starting and ending travel dates, trip purpose, cash advance, expense report status, and miscellaneous notes about the trip. Once you have put in the desired Trip Information selected Save, you are ready to enter the actual expenses. After selecting the appropriate trip, select Add individual expenses. You may input Expenses for a trip in any order. Expense Reporter will total and report them in the correct order. When entering expenses, you will be asked the date, vendor, expense category, amount, how paid, and for a description. You can use this description field to input client names or other information that you want to print out on your expense report. Print the Expense Report when you need a paper copy of your expenses. Simply choose the desired report that you wish to print. Expense Reporter uses the MS Windows Print Manager. Use Print Setup to change printers or printer options. Expense Reporter can also access the MS Windows Calculator, a Calendar, and an online Phone Book. These are accessible either through the menu bar or the tool bar. The Phone Book allows you to quickly retrieve and store names, address, and phone numbers. For each person you can attach as many phone numbers as you would like to each name and address. Once information is entered into the Phone Book, not only can it be quickly viewed, but can also be printed on the Phone Book Report or on Address Labels.
